Dental Staff Prep

I'm Dr. Alevtina Malakova, you can check me out on ZocDoc or Google..I graduated NYU Dental in 2010. You'll see that I was an associate dentist, a co-owner of 2 offices, a previous dental supervisor in a college hygiene program, and an MGE client graduate for the Power Program. I now live in Florida with my husband and kids.

First, I need to know how many minutes you have for me? Like 3 minutes or 5?

---> You know what I'm offering? As a dentist?

---> Well, first let me ask you, who is CURRENTLY the go-to in your team who teaches staff actual dentistry so they know answers to patients' questions, like: what a root canal is, or can whitening be done on fillings, or why did the doc say they have to see a specialist? Is it you? Or that one staff member? or They just wing it?

---> If they ask you, this is not efficient and this will keep hindering your time and their lack of desire to learn and help you themselves. They will just rely on you being there for all answers. What if you're busy with a patient? What if you're in the restroom? or on an important phone call? What if you have to run out or do another errand, and they get this type of patient question on a phone call. Many "What ifs" that literally just stop you in your tracks. This is just an annoying part to this whole office growth. You don't need to go thru that! There is a way out! I created that way out for you!

---> If they ask that specific person, you don't think that the staff member will eventually get annoyed? or want a raise in an unexpected time because they are constantly helping out more than others? Since they always have to be available- and divert their attention away from what they are currently doing, just to answer this question, and then most likely finish up the convo instead of the original staff member who was speaking with the patient or caller? The same thing I previously asked applies here too..what if this main staff member called in sick? or is busy with another patient? or is in the restroom or lunch break? Too many variables to pay attention to and monitor....for a question that the patient thinks is probably an easy one since it is a dental office and they are speaking to dental staff, so why the heck shouldn't that staff member who is currently talking to them know the answer?!

YOU?

Another Staff, like Manager or Biller?

Just Wing It?

---> If there is no one specific and if you have current staff members that have been with you for years, and you're relying on them because you just trust that they developed enough knowledge over all this time, that's great, but if you have to get a new member, just because of something or other, and there isn't time for anyone specifically to give them an overview of what dentistry is...you have to rely on their previous experience--do you really know what they were taught to say or how to answer questions-- or what if you get someone right out of high school or college-- there are no basics- the basics that the office members all have to have in unison. You don't want your professional dental office's staff to just wing it and create answers that they "think is right," do you?

Do you agree with all this?
Now Doctor, tell me, did the patient just lose any, even slight, confidence, trust and desire to return to your office?

I think you can truthfully answer yes to that.

If the patient is told "I'll call you back with an answer to that after finding out" or "Let me get so-and-so to speak with you to answer that question" or "The doctor will answer that for you," then the patient will start to lose the confidence in the office and think of the staff as not fully competent as should be. In their mind is this question: "Wasn't my question a normal dental question that patients always ask? If they are a dental office open for so long and constantly treating patients, is this the first time this type of question was asked by me?" This will cause hesitation for the patient, and then they can easily be deterred by another friend who says "oh, the dental office I go to always has answers to my questions because they've dealt with all these things before. Try them out instead."

Now, I have 1-2 minutes left on the clock. Do you want to hear the solution?

---> I have created a crash course for staff on actual dental education.

.....It's a unique twist to the usual practice management products out there, not only because I'm a dentist who created it, and not just some marketing agent, but also because I offer different Tier Levels depending on what your office needs, like an a-la-carte verison for you.

Do you have time for more? To hear how my virtual services can help your staff? And to hear the fees? Or you don't think I can help you?
1st Tier Level: unlimited access to an online video transcribed course with PDF material totaling 2.5 hours worth of content, virtually guided modules by me, specific for staff core knowledge training. Reviews what dentistry is and what it takes to become a dentist, details each of the specialties, patient chart requirements and consent forms, what visits require, types of dental insurances, how dentists are found online, actual authentic drawings of what procedures there are, and even a bonus video of 50 ways to increase # of patients (old and new). Part of this Tier is two Lunch n' Learn Zoom sessions, one as a personal introduction with the staff and the 2nd as a Q+A session with as many staff members that can join. This total value, after researching the market of what is offered in other companies and what I personally bring to this Tier, being a dentist myself, knowing the business as an owner, and having taken courses from a serious, highly established management company MGE, comes out to a fee of 1500$.
The same as 1st Tier Level reads and I also offer my personal attention for 12 on-demand interactive Zoom sessions for a period of 6 months, with any number of staff members- or even just the new one(s) if you have turnover, for any questions or randomness that comes up, and as a dentist, you can feel comfortable and safe that I know the knowledge. And if you want me to answer based on the way you work it in your office, then I'll quickly have a meeting with you to take down all notes to save in your file and base all my answers on that when responding to them throughout the months, so that they can follow your leadership. This tier totals to 2500$, just an extra 1000$ to the initial payment.
The same as 1st Tier and 2nd Tier Levels read and I will give additional support to a trainee of your choice, with my personalized approach, using facetime or Zoom sessions, to teach any staff member to become a treatment coordinator. I will review all of what's involved in that role, including more elaborate dentistry core knowledge, properly selling the patient treatment, financing options and how they work, and treatment plan printouts and follow up organization. And if you currently have a treatment coordinator, but would like to have another staff know the ins and outs of it, based on how you do it in your office, I will connect with your current one, and get all info, and spend my time training the staff member, so that you current staff doesn't have any to constantly be removed from her position. There will be 2 sessions weekly, for a total of 4 weeks, during the 6 month period of Tier 2 staff sessions. This is an additional 1500$ to Tier 2, totaling 4000$.
The same as 1st Tier, 2nd and 3rd Levels read, and I will provide customized manual of Staff Roles for their duties and a customized manual of consent forms for the office, with its name and address. It's for a long-term investment that will be used for many years to come, no matter how many new staff members you have or new dentists who work for you; the roles of each position and the consent forms don't change. So it's a one time payment for all these valuable materials, and when you decide to open more offices, you can duplicate all of it, and not have to pay for further materials, since it's the same basic system flow and protocol followed for every new office. So it will be an additional 2000$, totaling 6000$.
